Ecoast Pool Service (“Ecoast,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect, how we use and share it, and your rights with respect to your information. This Policy applies to information we collect through our website (ecoastpoolservice.com), our quoting and booking tools, and our delivery of pool services.

1. Information We Collect

We collect the following categories of information:

(a) Information you provide directly:

  • Name, email address, phone number, mailing address, and service address
  • Pool/spa details (size, equipment, access instructions)
  • Payment information (collected and stored by Stripe; we do not store full card numbers on our systems)
  • Communications you send to us (emails, text messages, support requests)
  • Photos or notes about your property submitted as part of a quote

(b) Information collected automatically:

  • Device and browser information (IP address, browser type, operating system, referring URL)
  • Usage information about how you interact with our website and quoting tools
  • Cookies and similar technologies (see Section 6)

(c) Information from third parties:

  • Payment status and limited card information from Stripe (last four digits, expiration, brand)
  • Information from Google or other authentication providers if you sign in through them
  • Public business information if you are a commercial customer

2. How We Use Your Information

We use your information to:

  • Provide, schedule, and bill for our services
  • Communicate with you about appointments, service results, billing, and account changes
  • Process payments and manage recurring billing
  • Provide quotes and respond to inquiries
  • Send service-related text messages and emails (see Sections 5 and 13)
  • Maintain records required by law, tax authorities, or our insurers
  • Improve our website, services, and customer experience
  • Comply with legal obligations and enforce our Terms of Service
  • Send marketing communications, only if you have opted in

3. How We Share Your Information

We do not sell your personal information. We share information only as described below:

(a) Service Providers (Sub-Processors). We share information with vendors who perform services on our behalf, including:

  • Stripe — payment processing and recurring billing
  • Jobber — job scheduling, customer records, and field operations
  • Email service providers — transactional and service emails
  • SMS service providers — appointment reminders and service notifications
  • Cloud hosting and analytics providers — website operation and performance

Each sub-processor is contractually required to protect your information and use it only for the purposes for which we share it.

(b) Legal and Safety. We may disclose information when required by law, subpoena, or court order, or when necessary to protect the rights, property, or safety of Ecoast, our customers, or others.

(c) Business Transfers. If we are acquired or merged with another company, your information may be transferred as part of that transaction. We will notify you of any such transfer.

4. Data Retention

We retain customer information for as long as your account is active and for up to 7 years after account closure, primarily to comply with tax, accounting, and legal record-keeping requirements. We may retain certain information longer if required by law or to resolve disputes.

5. Communications

(a) Email. When you become a customer, you consent to receive transactional emails (appointment confirmations, invoices, billing notices, service updates, Terms changes). You cannot opt out of transactional emails while you remain an active customer, but may opt out by cancelling service.

(b) Marketing. Marketing emails and texts are sent only with your separate opt-in. You may opt out at any time using the unsubscribe link in any marketing email or by replying STOP to a marketing text. SMS-specific disclosures are in Section 13.

6. Cookies and Analytics

Our website uses cookies and similar technologies to operate the site, remember your preferences, and understand how visitors use the site. We may use third-party analytics tools (such as Google Analytics) to measure website traffic and performance. You can control cookies through your browser settings; disabling cookies may affect site functionality.

7. Security

We use commercially reasonable administrative, technical, and physical safeguards to protect your information. Payment card data is collected and stored by Stripe, a PCI-DSS Level 1 certified payment processor; Ecoast does not store full card numbers on its own systems. No security measure is perfect, and we cannot guarantee absolute security.

8. Your Rights

Depending on where you live, you may have the following rights with respect to your personal information:

  • Access: request a copy of the personal information we hold about you
  • Correction: request that we correct inaccurate information
  • Deletion: request that we delete your personal information, subject to legal retention requirements
  • Opt-out of marketing: unsubscribe from marketing communications
  • Opt-out of SMS: reply STOP to any service text message
  • Portability: request a copy of your information in a portable format

To exercise any of these rights, email support@ecoastpoolservice.com with your request and the email address on your account. We will respond within 45 days. We will not discriminate against you for exercising your rights.

9. New Jersey Residents

New Jersey residents have specific rights under the New Jersey Data Privacy Act (NJDPA), including the rights described in Section 8 above and the right to appeal a denial of a privacy request. To submit an appeal, email support@ecoastpoolservice.com with the subject line “Privacy Appeal.”

10. Children's Privacy

Our services are directed to adults and are not intended for children under 13. We do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it.

11. Third-Party Links

Our website may contain links to third-party websites. We are not responsible for the privacy practices of those sites. Please review their privacy policies.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last Updated” date at the top of this Policy reflects the most recent change. For material changes, we will notify customers by email at least 30 days before the change takes effect. The current version is always posted at ecoastpoolservice.com/privacy.

13. SMS and Text Message Communication

When you provide your phone number to Ecoast Pool Service and consent to receive text messages, we collect and store your phone number for the purpose of communicating with you about your service. We may send you appointment reminders, schedule changes, service updates, job completion notifications, billing notifications, and responses to your inquiries via SMS. Message frequency varies based on your service activity.

You may consent to receive text messages by submitting our contact form on ecoastpoolservice.com, by texting our number directly, by replying to our voicemail invitation to text, or by verbally agreeing during a recorded phone call with our staff. Verbal consent given during a recorded call is treated as your authorization to receive service-related text messages, with the call recording retained as the record of that consent.

We do not sell, rent, or share your phone number with third parties for marketing purposes. Your phone number and message history are stored securely and accessible only to Ecoast Pool Service staff and our communications provider (Virgo Communications Service).

You may opt out of SMS communications at any time by replying STOP to any message. Reply HELP for assistance, or contact us at info@ecoastpoolservice.com or 609-246-0351. Message and data rates may apply.

14. Voice Call Recording

When you call Ecoast Pool Service or we call you, the conversation may be recorded for quality assurance, training, dispute resolution, and to capture verbal consent you give us during the call (for example, agreeing to receive text messages from us about your service). At the start of incoming calls, you will hear an audible disclosure: “This call may be recorded.” If you do not wish to be recorded, please tell our representative and we will end the call.

Recordings are stored securely and are accessible only to Ecoast Pool Service staff and our communications provider (Virgo Communications Service). We do not sell, rent, or share recordings with third parties. Recordings are retained as long as needed to support your service, defend our records, and comply with applicable legal obligations. Recordings tied to a documented consent (e.g., a verbal opt-in to SMS) are retained as evidence of that consent for as long as the consent is in effect.
